How clinics can cut no-shows with reminders, deposits and easy rebooking

Every clinic knows the feeling. The appointment is booked, the room is ready, and the patient does not arrive. That slot cannot be sold again, and a few no-shows a week add up to a real loss over a year. The good news is that most no-shows are not deliberate. People forget, their plans change, or rearranging feels like too much effort. Each of those has a simple fix.

1. Send reminders that people actually read

A reminder the day before, and another a couple of hours before, catches most forgetful patients. Text messages are read quickly, so use them for the final reminder. Include the time, the practitioner, the address and a simple way to reschedule.

2. Make rescheduling easier than not turning up

If moving an appointment means a phone call during work hours, some people will simply not come. Give patients a link to rebook online. A rescheduled appointment is far better than an empty slot, and it keeps the patient.

3. Take a deposit for longer or high-value appointments

A small deposit when booking makes patients more committed and covers some of your loss if they miss it. Make your policy clear at booking, and keep it fair. Most patients accept a deposit when it is explained up front.

4. Send forms before the visit

Asking patients to fill in consent or medical history forms before the appointment has two benefits. The appointment starts on time, and the act of completing the form is a strong reminder that they are coming.

5. Book the next appointment before they leave

For treatment courses, book the follow-up at the end of each session. Patients with a booked next step are much more likely to continue, and your diary fills up further ahead.

6. Offer payment plans for treatment courses

Patients who have paid for a course, or are paying for it in instalments, tend to attend. Spreading the cost also makes longer treatment plans easier to say yes to.

7. Follow up gently after a missed appointment

When someone does miss a visit, a friendly text the same day with a link to rebook recovers many of them. Keep the tone warm. Life happens, and a kind message keeps the relationship.
