How much does a CRM cost for a UK small business in 2026?

6 min read · Updated 24 October 2026

Short answer: for a small UK business, a CRM usually costs somewhere between nothing and a few hundred pounds a month, and the headline price is rarely the whole bill. Unavoidable CRM costs £29 a month for one person, £149 for a team of up to five and £399 for unlimited users, with every feature on every plan and email sending included.

The four things that make up a CRM bill

  1. The plan price. This is the number on the pricing page. Check whether it is per business or per user, and whether it includes VAT.
  2. Per-user charges. Many CRMs charge for every login. That is fine for a sole trader, but the bill grows each time you add an office manager, an apprentice or a second engineer.
  3. Tiers and add-ons. Features such as automatic quote chasing, call answering, booking pages or reports are often locked to a higher tier or sold separately.
  4. Usage. Texts, calls, phone numbers and email sending cost money somewhere. Some CRMs mark these up, some bundle an allowance, and some, like ours, pass them through at cost.

What Unavoidable CRM costs

Every plan has every feature. You choose by people and contacts: Solo £29 a month (1 user, 1,000 contacts), Team £149 (5 users, 10,000 contacts) and Agency £399 (unlimited users and contacts, plus white-label). Paying yearly saves 20%. Email sending is included. Texts, calls and AI receptionist minutes go on your own Twilio and Retell accounts at the provider’s price, with no markup.

There are no job limits and nothing is locked behind a bigger tier. Monthly plans have no contract and are charged on the 1st of each month. Every plan includes a free 15-minute setup call with Andrew, the founder.

A worked example for a sole trader

Say you run a one-person business, you use the AI receptionist for about 150 minutes a month and send around 100 texts. On October 2026 provider prices that is roughly:

That comes to about £51 to £59 a month for the CRM, call answering, texting and email together. A quiet month costs less, a busy month a little more.

How to compare prices fairly

Write down what you actually need: how many people log in, whether you need calls answered, whether you send quotes and chase them, and whether you email past customers. Then price each option with those things switched on, not the cheapest plan on the page. The cheapest headline price can turn into the dearest once you add users and the features you need.
