Email sending

Email sending from your own address

Emails to your customers (booking confirmations, automations, sequences, receptionist follow-ups, quotes and invoices) go out under your business name and from your own email address, and replies come straight back to you.

Before you start

  • The email address you want to send from, on your own domain, for example hello@yourdomain.com.
  • Access to your domain's DNS settings. This is usually in Cloudflare, GoDaddy, Namecheap, 123 Reg or wherever you bought the domain. If someone else looks after your website, ask them.
  • About 15 minutes. DNS changes usually take effect within 10 minutes, occasionally up to 24 hours.

How it works

Unavoidable CRM sends email through Postmark, a specialist sending service used for important emails such as confirmations and receipts. Before Postmark will send from your address, your domain has to be verified. That proves the emails really are from you, and it is what keeps them out of spam.

You do not lose any emails while you set this up. Until your domain is verified, emails still go out under your business name, from info@unavoidablecrm.com, with replies going to your own address. The Email sending card in Settings shows a notice until verification is complete.

Step 1: Save your sender in the CRM

  1. Go to Settings > Integrations and find Email sending (per company).
  2. From email: the address your customers will see, for example bookings@yourdomain.com.
  3. From name: your business name as customers know it, for example Gis a Rave.
  4. Reply-to email (optional): where replies should go. Leave it blank to use your From email.
  5. Leave Own sending key blank. It is only for businesses with their own separate sending account.
  6. Click Save sender.

Step 2: Ask us to verify your domain

Email info@unavoidablecrm.com with the domain you want to send from (the part after the @). We add it to Postmark and reply with the two DNS records your domain needs, usually the same working day.

Step 3: Add the two DNS records

Add both records in your DNS settings exactly as we send them. Copy and paste them rather than typing, because one wrong character stops verification.

1. DKIM (TXT record)

  • Type: TXT
  • Host: a name ending in pm._domainkey, for example 20261006123456pm._domainkey. Yours is unique and comes in our email.
  • Value: a long line starting k=rsa;p=.

DKIM is a digital signature on every email, so inboxes can tell it genuinely came from your domain.

2. Return-Path (CNAME record)

  • Type: CNAME
  • Host: pm-bounces
  • Value: pm.mtasv.net

This handles bounced emails and lines up with your domain for SPF, so you do not need to change your existing SPF record. If you already have one, leave it as it is, and never add a second SPF record.

Provider notes

Cloudflare
Set the pm-bounces CNAME to DNS only (grey cloud), not proxied.
Namecheap and GoDaddy
Enter only the host part shown above. They add your domain on the end for you, so do not type it twice. GoDaddy can take 30 to 60 minutes the first time.
123 Reg and others
If your provider asks for the full name, use the host followed by your domain, for example pm-bounces.yourdomain.com.

Step 4: We verify, you send a test

  1. Reply to our email once the records are added. We check them and confirm when your domain is verified.
  2. In the CRM, open the Email sending card and click Send test email.
  3. The test should arrive from your own address with your business name. The notice on the card disappears by itself after the first email sent from your address.

Recommended: DMARC

DMARC tells inboxes what to do with emails that pretend to be from your domain. It protects your name and improves delivery. Add one TXT record:

  • Type: TXT
  • Host: _dmarc
  • Value: v=DMARC1; p=none; rua=mailto:you@yourdomain.com

Start with p=none. After a few weeks of normal sending, change it to p=quarantine. If you already have a DMARC record, keep it.

The DNS health card

Below the sender fields, click Recheck DNS to see your domain's status:

  • SPF: shows whether your domain has an SPF record. It is useful for your normal email, but you do not need to change it for us.
  • Sending records: green once the Return-Path record from Step 3 is in place.
  • DMARC: green once you have a DMARC record that protects your domain.

Click any pill to see exactly what was found and how to fix it.

Marketing emails

Newsletters and other marketing emails are sent from the sender you set up under Email > Senders, and always include an unsubscribe link. Service emails, such as confirmations, use the sender on this page.

Troubleshooting

The notice on the card will not go away
Your domain is not verified yet, or the From email in the CRM uses a different domain from the one we verified. Check the spelling, then email us.
The test email did not arrive
Check your spam folder, then make sure the address you sent the test to is spelled correctly. If it still has not arrived after 10 minutes, email us.
Emails are landing in spam
Make sure both records from Step 3 are in place, add a DMARC record, and avoid sending from a free address such as Gmail or Hotmail as your From email.
You have two SPF records
Merge them into one. Two SPF records cause both to fail.
